Greet and welcome guests as soon as they arrive at the office. Direct visitors to the appropriate person and office.

Answer, screen and forward incoming phone calls.

Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, brochures, newsletters).

Provide basic and accurate information in-person and via phone. Receive, sort and distribute daily mail / deliveries.

Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).

Update calendars and schedule meetings. Schedules conference rooms.

Perform other clerical receptionist duties such as filing, photocopying, faxing and other related duties as assigned.

Provides clerical and administrative support for the CEO, managers, professional staff and other personnel on a variety of tasks.

Must be able to perform a variety of tasks amid conflicting priorities. Performs and Supervises the Receptionist Position.

Transcribes, types, proofreads, and makes corrections to assigned materials, such as spreadsheets, newsletters, etc. Takes accurate meeting notes and produces meeting minutes.

Creates and maintains databases as needed, including reimbursement and enrollment reports. Works cooperatively with a pleasant attitude.

Handles the CEO’s general and interoffice mail. Composes letters of appreciation.

Must have well-developed planning and organizational competencies to stay attuned to a wide variety of tasks. Must use good analysis and judgment to determine appropriate courses of action, while working with minimal supervision.

Requirements

QUALIFICATIONS:

  • High School Diploma or equivalent

  • Proven work experience as a Receptionist, Front Office Representative or similar role.

  • Hands-on experience with office equipment (e.g. fax machines, printers and shredders).

  • Competent with various computer programs, such as Word, Excel, PowerPoint, etc.

  • Able to take and reproduce accurate meeting notes.

  • Professional attitude and appearance.

  • Good communication skills.

  • Customer service attitude.

  • Must have good interpersonal competency to obtain and provide information tactfully and in a de-escalating manner when necessary.

  • Demonstrated ability to act professionally as a prime representative of the company on the telephone and in person.

  • Provide positive interactions with applicants, family members, consumers and other members of the community.

  • Demonstrate ability to maintain confidentiality relative to persons served and other sensitive matters at all times.

  • Satisfactory Abuser Registry, Web-database criminal background checks as defined in OAC 5123-2-02.

  • Maintain the ability to pass a drug screen.

PREFERRED QUALIFICATIONS:

  • 1-year experience in telephone/receptionist duties

  • Administrative Secretarial experience.

  • Experience in a supervisory capacity.
